GENERAL CONDITIONS
- The Museum shall be available at the discretion and approval of the Museum Director and the Executive Committee for use by any group regardless of race, sex, or national origin.
- A staff member and a member of the Board of Directors must be present for the duration of the event.
- Persons renting the facility may not move or rearrange items within the Museum without the knowledge and consent of the Director.
- No musical instruments in the possession, ownership or control of the Museum, such as pianos,
organs, or music box are to be moved or played during private usage of the Museum.
- The consumption of alcoholic beverages, other than white wine or champagne, is not permitted
inside the Museum. Wine or keg beer may be consumed on the Museum grounds. No bottled or
canned (alcoholic) beverages are allowed.
- No smoking is permitted inside the Museum. There will be no exceptions.
- Renters are responsible for the behavior of their guests. Damages to the Museum buildings, grounds, or contents caused by or otherwise attributable to the Renter, Renter’s agents, representatives, guests, invitees, employees or contractors will be assessed to the Renter by Museum. Signing of this contract constitutes Renter’s binding legal responsibility and obligation to pay to Museum any and all such assessed damages.
- The Museum is not responsible for lost, damaged, or stolen property belonging to the Renter or Renter’s guests, agents, representatives, guests, invitees, employees or contractors and with respect to any and all formal or informal third party claims, actions, courses of action or legal proceedings against the Museum, its Board of Directors, officers, representatives or employees (collectively hereinafter referred to as Indemnities) for property damages or losses of any kind arising from or in any way related to or concerning Renter or Renter’s Event, Renter agrees to hold harmless and indemnify fully Indemnities against all damages or losses or any kind (including but not limited to costs, expenses, punitive damages, assessments, awards and reasonable attorney’s fees).
- At all times pertinent to this contract Museum and Renter remain independent and nothing in this contract is intended to establish or authorize either party to act as an agent, representative, joint venturer, employee or servant of the other for any purpose. Neither Museum nor Renter shall make any contract, agreement, or representation on behalf of the other or incur any debt or other obligation in the other party’s name. Neither party will assume liability for, or be deemed liable as the result of any act or omission of the other party.

CAPACITY FOR SIT-DOWN MEAL SERVICE
Sit-down meal service shall be limited to a maximum seating capacity of thirty-eight (38) persons as follows:

For sit-down meals the Museum will provide the tables, chairs, table linens, plates, glasses, and flatware.
BOOKING POLICY/CATERER
Date for all bookings shall be cleared with the Director and shall be recorded on the Museum calendar. The booking party shall then deal directly with the caterer to determine menu selection as well as the per person charge for all meals served. No food or beverages will be provided by the Museum.

Punch bowl, cups, and serving platters are available for use.
Use of Parlor for meetings of 25 persons maximum, fee is $50.00 ($25 non-refundable deposit).
If kitchen is used, the fee will be $75.00.
An additional $50.00 fee will be charged for use of Japanese Garden lanterns during evening events.
The museum will provide flower arrangements for $35.00 (the flowers will remain at the museum following the event).
Museum members will be allowed a 20% discount on the scheduled use fees. A discount on food charges is not allowed.
CONTRACT
To guarantee a booking date, a signed contract and deposit must be received at the Museum within 3 business days of the verbal booking. The deposit is non-refundable. The balance of the Museum Use Fee will be due on the day of the event. Payment shall be by check payable to: Alamance County Historical Museum.
EXTRA SUPPLIES
Additional supplies (such as tents, outdoor chairs, tables, outside linens, steam trays), necessitated by large parties are not available through the Museum. The client or the caterer shall be responsible for contracting these items.
Lawn parties or wedding receptions will be required to rent portable toilets. Two portable toilets will be required per 100 guests or increments thereof (by order of the Health Department). The Museum Director will automatically rent these for the client and charges for the same will be added to the client's Museum Use Fee.
